Challenges
Cleary had important sales, GTM, and podcast-related meetings spread across multiple calendars. Reviewing them manually took time and created room for missed context, especially when determining whether a meeting was internal, external, GTM-related, podcast-related, or connected to an active HubSpot deal. The automation also needed to avoid noisy Slack updates by skipping non-qualifying meetings and only surfacing useful, relevant activity.

What I Built
I built a daily automation that reviewed qualifying Google Calendar meetings for the founder using Eastern Time boundaries. The workflow filtered out internal meetings and meetings without relevant external attendees, categorized each qualifying meeting as GTM, sales, podcast prep, or podcast recording related, matched meetings to real HubSpot deals using attendee, company, title, and meeting context, then posted a combined summary into Slack.
The automation included logic for reviewed, excluded, skipped, and sent meetings so the team could quickly understand what was processed and why certain meetings were or were not included.

Operational Impact
The automation reduced manual calendar and CRM review work by turning scattered meeting data into a single Slack-ready operational summary. It improved visibility across GTM and podcast workflows, helped the team stay aligned on external-facing meetings, and created a repeatable process for surfacing relevant pipeline and podcast activity without manual checking across Google Calendar and HubSpot.
